Timewerks is a nicely designed and organized time-tracking, invoicing and billing application for freelancers, consultants, salespeople, contractors or anyone who needs to track billable hours and create invoices— all from an iPhone or iPod touch. No network connection needed to enter and view data.
From this screen you can view a list of all the projects you are tracking in Timewerks. To add a new project to the list, tap the + button in the upper right hand corner of the application.
To view a project’s details, and add hours or items for a project, tap the project’s name. The following view appears:
The hours section gives you a breakdown of both billed and unbilled project hours. Similarly, the items section displays billed and unbilled items.
You may view details of unbilled hours or items by tapping the blue arrow next to the group you wish to view.
To add new project hours, tap the “+ Hours” button in the bottom toolbar. The “Add Hours” view appears:
The Add Hours view lets you add time for a specific task you have completed on a project.
Add hours (in 15 minute increments) by selecting your time via the time selector.
This view defaults to the current date. You may add hours for a specific date by tapping the date and selecting a new date with the date selector that appears.
Tap the work items line to choose the “type of work” for a specific task. You may add new work items and set rates for items in the work items tab of the main application window.
Also, you may add notes for a specific task. The notes will show up in the detailed line items of each emailed invoice.
Tap “Save” to save your hours for this task.
To add new project items, tap the “+ Items” button in the bottom toolbar. The “Add Items” view appears. The Add Items view lets you add items to a project, either by selected from a list of non-hourly items you have defined in the work items tab, or by entering a price, quantity, and description for a single item.
Tap the “Select Item” button if you would like to choose from a list of defined work items. Tap the “Enter Price” button if wish to enter the item price manually. Generally, you would define non-hourly items for tasks such tracking mileage and other cases where you bill for an item on more than one occasion.
To view a list of all invoices for this project, tap the “Invoices” bar in the Project Detail view. A list of all invoices for this project appears, including the total amount of all project invoices.
To create an invoice from unbilled hours or items, tap the “+ Invoice” button on the toolbar.
Select the items you wish to include in the invoice, then tap the “Create Invoice” button on the bottom toolbar. The Create Invoice view appears, with the invoice default you have set in Timerwerks Settings. After you have finished working with a particular project, tap the “Project” button in the upper left navigation bar to return to the main application view. To view the details of a particular invoice, and to email a copy of the invoice, tap a specific invoice. The following view appears:
Invoice Detail View
The Invoice View displays such invoice data as total amount, total hours, and total items. To view the invoice details, tap the blue arrow next to the hours or items total. To send an HTML copy of the invoice, tap the action button in the upper right-hand corner of the view and select “Email Invoice”: The Mail application opens with a draft email ready to send. By default the email is addressed to the client’s email, but if necessary, you may delete this address in the To: line and send the invoice to another recipient.
To return to the main application view from the Invoices View, tap the “Invoices” button in the left hand side of the navigation bar. You can customize the emailed invoice by adjusting the Invoice Default settings in the Timewerks settings menu. To access Settings, return to the iPhone home screen and click the “Settings” icon. Tap the row to access Timewerks settings. You will see the following screen:
In this view you may enter a default name, address, and/or phone number that will appear on the emailed invoice. In addition, you may enter a default client message, and select default payment terms, and the currency symbol that will appear on the invoice. Here you may also turn on/off invoice shading.
The Clients View displays a list of all the clients you are tracking in Timewerks. To add a new Client, tap the + button in the upper right hand side of the navigation bar. You may enter client data manually, or auto fill client data from an existing or new Address Book contact. To edit or view a client’s details, tap the client name. The Client Detail View appears:
To edit details for a client, tap the edit button in the upper right-hand corner of the navigation bar. To view a list of all Invoices for this client, tap the “Invoices” bar. To view a list of all projects for this client, tap the “Projects” bar. To return to the main application view from the Client View, tap the “Clients” button in the left hand side of the navigation bar.
The work items view displays a list of all the work items you have created in Timewerks. Works items are used to set a rate for either a hourly task or a recurring item (for example, you can create a non-hourly work item for mileage and use that to track a certain cost per mile for a project).
To create a new work item, tap the + button in the upper right hand corner of the application. Or, you may edit and existing item by tapping the item. The following view appears:
Tap edit in the upper-right hand corner of the window to enable the controls and allow you to changes the item’s rate, description, etc. To create a non-hourly item (an item that will appear in the “add items” view instead of the “Add Hours” view), switch “Bill Hourly” to off. To save your changes and return to the main work items list, click “save”.
To return to the main application view from the Work Item view, tap the “Work Items” button in the left hand side of the navigation bar.
